Developing Low-Cost Dashboards for Business Process Optimization in SMEs
Abstract
Small and Medium-sized Enterprises (SMEs) often face resource constraints that hinder their ability to adopt sophisticated data-driven tools for monitoring and improving operational efficiency. This paper explores the development and deployment of low-cost dashboards as practical, scalable solutions for optimizing business processes in SMEs. By leveraging open-source platforms, affordable software tools, and cloud-based services, SMEs can gain real-time visibility into key performance indicators (KPIs), streamline workflows, reduce waste, and enhance decision-making. The study emphasizes the importance of tailoring dashboards to the unique operational needs and resource capacities of SMEs, focusing on user-friendly interfaces, customizable metrics, and integration with existing systems such as spreadsheets, accounting software, and customer relationship management (CRM) platforms. A mixed-methods approach is employed, involving case studies of SMEs across retail, manufacturing, and service sectors, supplemented by expert interviews and usability testing. The findings demonstrate that low-cost dashboards improve data accessibility, empower non-technical staff to track performance trends, and enable timely interventions to address operational bottlenecks. Additionally, dashboards contribute to fostering a data-informed organizational culture, increasing agility in responding to market changes. Specific tools evaluated include Google Data Studio, Microsoft Power BI Free, and open-source options like Metabase and Grafana, all of which offer strong functionality with minimal or no licensing costs. The research also outlines a step-by-step framework for dashboard development in SME contexts, from needs assessment to deployment and continuous improvement. Key enablers of successful implementation include management buy-in, basic digital literacy, and ongoing training. Recommendations are provided for policymakers and development partners to support SMEs through capacity-building initiatives and subsidized access to digital tools. This study concludes that developing low-cost dashboards represents a strategic and achievable step toward digital transformation in SMEs, driving productivity, competitiveness, and long-term sustainability in resource-limited environments.
